Rules & Regulations

Getting Started

Please use the exhibitor checklist to help you understand what is required of you as an exhibiting company at the event. Download this form to keep track of the items you have completed.


The organizer does not provide insurance for any booth components or additional pieces of equipment brought into the conference,
rented from exhibitor services or for personal possessions of any exhibitor against loss, damage or theft. It is the exhibitor’s responsibility to arrange their own insurance coverage.

Use of Microphones and Speakers

The use of microphones and speakers is to be approved by EBD Group and will only be permitted if neighboring exhibitors/partnering will not be disturbed.


Breakfast, luncheon and ongoing catering will be provided in the exhibition area during all conference days. You may order individual catering requirements at your booth through the Bella Center webshop.

Exhibit hall receptions must be approved by the organizer. If you plan to hold a reception at your booth, please contact your exhibit liaison.

The Bella Center is the exclusive caterer at the conference center. No other caterer is allowed to provide food and beverages at Bella Center Copenhagen.

Internet – WIFI

Wireless LAN is available in the exhibition hall.

Exhibitors and their stand constructors are not permitted to use outside WIFI routers or access points. Please do not use WIFI devices or personal mobile hotspots. Personal mobile hotspots must be turned off inside the exhibition hall as they interfere with the Bella Center WIFI.

If an internet connection is vital for your stand, we recommend you to order a wired internet service as this remains the most reliable internet access solution for your stand.

Construction Height

Construction Height 

6sqm booths: maximum height of booth construction is 2.50m.

12sqm booths: maximum height of booth construction is 2.50m at the back wall. With a minimum distance of at least 2m towards the back wall it is allowed to build up to a maximum height of 3m.

20sqm or larger island booths: maximum height of booth construction is 4.50m. Maximum height for hanging signs is 7m (highest point).

Individual Booth Design

In order to create an open environment for the exhibition, only 1/2 of any side of a stand on the aisle may be enclosed. 

All individual booth designs must be reviewed by EBD exhibit team and approved prior to building.

Literature Table

We are no longer providing a literature table in order to produce less waste and create a greener conference.

Rigging in Ceiling

Hanging signs are only permitted for island booths 20 m² and larger. 

A lighting truss is mounted in the ceiling, leaving the max. height for hanging signs to be 7 m in Hall E.

All wires at Bella Center must be rigged with a wire lock. These locks can be purchased at the Exhibitor Service Desk during official build up days followed by a rigging guideline. Due to safety reasons it is forbidden to use wires for lifting. For this purpose you should use chain blocks placed in rigging points instead.

Access Information 1

Unloading and Loading during setup and Breakdown:
To access the loading bays of hall E and C, please use the Southgate, see traffic guide.
Make sure to bring a personal ID and a proof that you are an exhibitor or a booth constructor.

Should you need assistance or forklifts for unloading and loading, you will need to order these services with DSV:

Note that your vehicle can only park within the loading bay during loading and unloading.

Access for Pedestrians on Sunday, November 4:
Please use the regular conference entrance.

Parking During the Event:
Car parking is available at the parking decks P1 to P5, cost per day is  DKK 100 (EUR 13.50 approx.). You may pay by credit card or cash onsite.

Compulsory Health & Safety

Please read all Health & Safety documents carefully to ensure you will adhere to the rules set by the Bella Center Copenhagen and EBD Group.

All Exhibitors of BIO-Europe 2018 need to sign the document Exhibitor Terms of Bella Center Copenhagen.

Partnering at your Booth

If you would like your agreed meetings to be scheduled to your exhibit booth, please send an email to your organizer liaison by October 26.

Exhibiting companies may elect to take meetings at their exhibit booth. If you opt-in to take meetings at your exhibit booth, EBD Group will endeavor to schedule all of your agreed meetings to your exhibit booth, one meeting per timeslot. Additional meetings will be scheduled to the regular partnering booths. There is no facility for you to decide which of your meetings take place at your exhibit booth, or when.
